1. Entry point
Customers enter the process via the withdrawal page you have configured. A shortcode, Gutenberg block and WordPress widget are available as entry points; PRO additionally provides Elementor and the WooCommerce My Account area.
2. Lookup and verification
Before displaying order data, the plugin checks whether the information entered matches a WooCommerce order. Lite uses the order number and billing email address. PRO can also include the order date, billing surname/company or billing postcode and can resolve visible custom order numbers via mapping.
3. Selecting items
The plugin determines which items and quantities are still eligible for withdrawal. Quantities already approved in previous requests are taken into account. PRO can display additional exclusion rules and optional reasons for withdrawal.
4. Submission
After submission, a withdrawal record is created, a history entry is written and the configured communications are triggered. The initial status is open or under review.
5. Review in the backend
Admins open the request, review the items and quantities and can approve it in full, approve it in part or reject it. Notes and decisions are stored in a traceable manner.
6. Subsequent steps
After the decision, customer emails can be sent and WooCommerce order notes can be added. PRO also provides PDF evidence, exports, statistics, refund assistance and extended privacy automation.
